# Event Day

> Your run-sheet for getting an event out the door — what to confirm, load, and watch on the day.

**Event day is the moment everything you've planned comes together.** By the time the flowers go out, the buying, conditioning, and most of the make-up are already done. This page is your run-sheet for the day itself — confirming what's ready, loading the van, getting it to the venue, and watching it through. Most florists keep this tab open alongside the dashboard.

## The morning checklist

Run through this last thing the night before and again first thing on the day. Most problems are easier to fix the evening before than at 6am.

  <Step title="Open the calendar for today">
    Switch to the **[Events Calendar](/events/calendar)** in **Day** view to see every event scheduled. This is the quickest answer to "what's going out today?" — each tile shows its status and type at a glance.

  <Step title="Check each event's orders are on the dashboard">
    Confirm each event's [orders](/events/event-orders) are on the main [Dashboard](/daily-operations/dashboard) alongside your everyday orders, ready for the team to make up.

  <Step title="Load and check off the hire items">
    As you load the van, check off the vases, arches, plinths, and candelabras that need to leave the shop against each event. If you want to confirm what's reserved for today, the **[Hire Items](/events/hire-items)** page shows the count per date.

  <Step title="Confirm the delivery run">
    Use **[Delivery](/daily-operations/delivery)** to confirm today's route. Venue addresses for events come straight from the event record, so each stop is already on the run as long as the orders have venues set. Many florists build the run the evening before so the van loads in delivery order.

  <Step title="Glance at the payment status">
    Have a quick look at each event's **[Payments](/events/payments-and-deposits)** status so you know where things stand. The balance is usually due before the day, so anything still outstanding is chased at closeout, not on the morning of the event.

## What your team sees

Once orders are created, your shop floor and drivers work from the dashboard and the **Digital Florists App** like any other day. There's no separate "event mode":

* **Florists** pick the order on the app, see the ingredients, and mark it ready.
* **Drivers** open the delivery, navigate to the venue, and mark it delivered.
* **You** track progress from the dashboard and the calendar.

  On the day, your wholesaler buy list is already done. It's built from the **Shopping List** when you order stems in the days before the event — see [Event Orders](/events/event-orders) for how the orders that drive it are created.

## Printing the make-up list

If your workroom works from a printed make-up list, you can keep pricing off the paper. Turn on **Hide Prices on Make-up List Printout** under **Settings > General > Events** to hide the price and cost columns on the printout, so the workroom copy shows only what's being made. It's off by default, and what you see on screen isn't affected.

    Take the order on the dashboard like a normal walk-in or phone order, attached to the same customer. There's no need to re-open the event quotation unless you want to keep the records together for closeout.

  <Accordion title="Can I see all of today's events in one place?">
    Yes. Use the **Day** view on the [Events Calendar](/events/calendar). For a combined view of events and everyday orders, the [Dashboard](/daily-operations/dashboard) is the single screen most florists work from.

  <Accordion title="What if a delivery fails?">
    Mark the delivery accordingly on the [Delivery](/daily-operations/delivery) screen. The event itself stays in **Order Created** until you move it on — failed deliveries don't roll the event back automatically.

    Once everything's delivered and your team is back at the shop. See [Closing Out](/events/closing-out) for the post-event workflow.
