The Client Portal is the branded web page your client visits to view, accept, and pay for their proposal. Instead of emailing PDFs or printing quotes, you send a single link and your client can do everything online, on any device, in their own time.

What the portal looks like

When your client opens their portal link, they see a polished, branded page that walks them through everything they need to know about their event. Here’s what they’ll find, from top to bottom:

Access code entry

If you’ve turned on access code protection for the proposal, your client will see a simple code entry screen before anything else. They type in the code you shared with them, and the portal unlocks.

Hero section

The first thing your client sees after entering is a large welcome area with your introduction message and a background image. This sets the tone for the entire proposal and gives you a chance to personalise the experience.

Venue details

The venue name, address, and any relevant details you’ve added to the event are displayed clearly so your client can confirm everything is correct. If you’ve uploaded inspiration photos, they appear here as a gallery. This helps your client see the overall vision for their flowers and feel confident you understand their style.

Arrangements

This is the heart of the proposal. Your client sees every item organised by group (like “Bridal Party”, “Ceremony”, or “Reception”), with:
  • Photos of each arrangement
  • A description of what’s included
  • Pricing per item or per group

Terms and conditions

Your terms appear near the bottom of the portal so the client can read them before accepting.

Accept button

A clear call-to-action button at the bottom lets the client move forward with accepting the proposal.

Accepting the proposal

When your client is ready to go ahead, the acceptance process is quick and straightforward.

Click Accept

Your client clicks the Accept button at the bottom of the portal.

Enter their details

A signature window appears asking for their full name and email address.

Sign the proposal

They have two ways to sign: type their name (which appears in a handwriting-style font) or simply confirm their acceptance. Either way, their agreement is recorded.

Confirmation

A confirmation message appears letting them know the proposal has been accepted and what to expect next.

What happens when a proposal is accepted

Once your client signs, several things happen behind the scenes:

Paying a deposit

After accepting, your client can pay their deposit directly through the portal. They don’t need to call you or arrange a bank transfer — they can pay online straight away while they’re still on the page.

Client comments

If you’ve enabled comments on the proposal, your client can leave questions and feedback directly on the portal. This keeps all communication about the proposal in one place rather than scattered across emails and text messages.

View tracking

You can see when your client first opened the portal and how many times they’ve viewed it. This is helpful for knowing whether a client has looked at your proposal or if you need to follow up because they haven’t opened it yet.

The frozen snapshot

Your client always sees the version of the proposal that was last published. If you make changes to the quotation after sending, those changes won’t appear on the portal until you republish the proposal. This protects you from accidentally showing a half-finished update to a client.
You’re not limited to email and SMS. Copy the portal link and share it through WhatsApp, social media direct messages, or any other channel your client prefers. The link works the same way no matter how they receive it.
If you’ve enabled an access code on the proposal, make sure you share the code with your client separately from the link. Sending the code and the link in the same message defeats the purpose of the extra security.

Common questions

Not automatically. The portal shows the version you last published. If you update the quotation, you’ll need to republish the proposal for those changes to appear on the portal.
The portal records the client’s name, email, IP address, and the exact time they accepted. While this provides a strong record of agreement, you should consult your own legal adviser about what constitutes a binding contract in your area.
Yes. You can turn the access code on or off at any time from the proposal settings. If you turn it off, the client can access the portal directly from the link without entering a code.
