Where to upload photos
You can attach photos at three different levels, depending on how specific the image is:Event-level photos
These are general inspiration and reference images for the whole event. Think of them as the big-picture mood — colour palettes, overall style direction, or photos from a similar event you’ve done before. Upload them directly on the event page.Group-level photos
Each quotation group (like “Ceremony” or “Reception”) can have its own set of photos. These work like a mini mood board for that section — for example, a sweeping shot of a church aisle decorated with flowers, or a wide view of a reception table layout. Group photos can include:- Captions to describe what the image shows
- Aspect ratio settings to control how photos display
- Sort order so you choose which photos appear first
Item-level photos
For the most specific reference, attach photos directly to individual items in your quotation. This is where you’d show the exact bouquet style, a close-up of the centrepiece design, or a particular flower combination you plan to use.How photos appear in proposals
Your uploaded photos show up in two key areas of the client’s proposal:- Moodboard section — event-level and group-level photos appear here as a browsable gallery. This gives clients a feel for the overall vision before they dive into the details.
- Arrangements section — item-level photos appear alongside each arrangement’s description and pricing. Clients can see exactly what each piece looks like next to what it costs.
Managing your library
Once photos are uploaded, you have full control over how they’re organised:- Reorder photos by dragging them into the sequence you want
- Add captions to describe what each image shows
- Remove photos you no longer need
Captions appear in the client’s proposal, so add short descriptions so your clients know what they’re looking at. Something like “Soft pink and ivory bridal bouquet” is more helpful than a blank image.
Colour palette
Beyond photos, you can record the client’s colour palette on the event. Each colour has a name and a hex code (e.g., “Dusty Rose” #D4A0A0), and you can add colour notes to capture preferences like “warm tones only” or “no bright yellows”. These colours appear throughout the quotation and proposal, helping your team match the client’s vision at every stage — from sourcing flowers to building arrangements on the day.Attachment categories
As your media library grows, you can organise images into categories for easy management. Categories let you group photos by theme, purpose, or any system that works for your workflow, so you can quickly find the right image when building a proposal or reviewing an event.Common questions

No. Photos are optional at every level. However, proposals with photos are much more engaging for clients, so adding images wherever you can will help your quotes stand out.

You can upload standard image formats like JPG and PNG. Keep file sizes reasonable so your proposals load quickly for clients on mobile devices.

Yes. You can attach the same image at the event level, group level, and item level as needed. Each attachment is independent, so removing it from one place won’t affect the others.

Only photos attached to visible groups and items appear in the proposal. If you hide a group from the client, its photos won’t show up either. Event-level photos appear in the moodboard section, which you can turn on or off in the proposal designer.
