A venue is a saved address you reuse across multiple events. Most wedding florists end up working at the same dozen venues regularly — by saving each as a venue, you only enter the address, parking notes, contact details, and access information once.

Adding a venue

Go to Events > Venues and click New Venue. Fill in:
  • Name — the public name of the venue (“The Old Barn at Greenmount”).
  • Address — full delivery address including postcode.
  • City — used for grouping in proposals and reports.
  • Contacts — the venue manager, events coordinator, and anyone else worth saving. Each contact has a name, role, phone, and email.
  • Access notes — load-in details, parking, where to find the events team, lift availability — anything your team needs to know on the day.
  • Photos — venue photos that can appear in proposals.

Using a venue on an event

When creating an event, search the venue field for an existing venue. The address, contacts, and access notes carry through automatically — you don’t re-enter them. If you’re working at a venue for the first time, you can save it from the event create form by clicking Save as venue after entering the address.

Venue history

Each venue’s page shows the events you’ve worked there, with quick links into each one. Useful for:
  • Pulling up photos and quotation templates from the last wedding at the same place.
  • Briefing a new team member on a venue they haven’t worked at before.
  • Reusing a quotation as a starting point for a similar event (see Quotation templates).

Common questions

Yes — anything you save on the venue record is visible to anyone with event access. Use the access notes field for “the entrance is around the back, ring the bell” — type of information that saves your driver a phone call.
Edit the venue record. All future events using this venue pick up the new details. Existing events keep the address as it was when created so historical proposals stay accurate.
