This guide covers how your shop floor team can use the Digital Florists App to view orders, scan QR codes, mark arrangements as ready, and manage daily tasks.

Your dashboard

When you open the app as a florist, you’ll see a welcome screen with your name and quick-access cards for the features available to you:
  • Orders - View and filter today’s orders
  • Mark Orders Ready - Scan order QR codes to set them to Ready status
  • Task List - View and manage today’s tasks
  • Create Task - Add a new task for your team
Which cards you see depends on your permissions. If you only have order access, you won’t see the task cards, and vice versa.

Viewing orders

Tap Orders to see your order list. This screen gives you a full view of what needs doing today.

Date navigation

Use the arrow buttons at the top to move between days. You can view today and future dates. The current date is shown in the centre.

Filtering orders

You can filter orders in several ways:
  • Fulfilment method - Tap All, Delivery, Collection, or the More menu for Relay and Courier orders
  • Status - Tap the summary cards at the top to filter by Confirmed, Ready, or Delivering. Tap again to clear the filter.
  • My Orders / All Orders - If your shop uses order assignments, you can switch between orders assigned to you and all orders. This shows a count for each view.

Summary cards

At the top of the order list, three coloured cards show your counts at a glance:

Delivering (purple)Orders currently out for delivery
Tap any card to filter the list to just those orders.

Unconfirmed orders

If there are unconfirmed orders, they appear in a collapsible amber section at the top of the screen. Tap to expand and view them. These are view-only in the app. To confirm orders, use the web dashboard.

Finding an order

There are two ways to find a specific order:
  • Search - Tap the search icon to open the Find Order modal. Search by order number or customer name.
  • Scan QR code - Tap the green QR scan button in the bottom-right corner to scan an order’s QR code from a printed worksheet or label.

Viewing order details

Tap any order to see its full details:
  • Order number and status
  • Customer name and contact details
  • Recipient name and delivery address
  • Card message and special notes
  • Products with quantities
  • Delivery time slot
  • Fulfilment method (Delivery, Collection, Relay, etc.)

Mark Orders Ready

This is the fastest way to update multiple orders as you finish making arrangements. It uses your phone’s camera to scan QR codes from printed worksheets or labels.

Open Mark Orders Ready

From the florist dashboard, tap the Mark Orders Ready card. The camera opens automatically.

Scan order QR codes

Point your camera at the QR code on each order’s worksheet or label. The app scans it automatically and marks the order as Ready.
  • Green flash and vibration means the order was successfully marked as ready
  • Red flash means there was an error (the order wasn’t found, or it couldn’t be updated)
  • Yellow flash means you’ve already scanned that order in this session
A feedback bar below the camera shows the last scan result.

Take a photo (optional)

If the Take photo after scan toggle is on, the camera opens after each successful scan so you can photograph the finished arrangement. This photo is attached to the order. Toggle it off if you don’t need photos.
Your admin can set whether the photo toggle defaults to on or off for your account.

Enter an order manually

If a QR code won’t scan, tap Enter ID to type the order number manually.

Review and finish

The stats cards show your running totals:
  • Ready - How many orders you’ve successfully marked as ready
  • Failed - How many scans failed (tap to see the list)
When you’re done, tap Done to return to the dashboard.

Scanning an order

The Scan Order feature (the green QR button on the orders screen) lets you quickly find a specific order by scanning its QR code. Unlike Mark Orders Ready, this just opens the order details without changing its status. It’s useful when you need to check an order’s card message, delivery address, or product list.

Managing tasks

Tap Task List from the dashboard to see your tasks. Tasks show the task name, description, due date, and status. You can:
  • View task details - Tap any task to see its full description, checklist items, and assigned team members
  • Check off items - If a task has a checklist, tick items off as you complete them
  • Update task status - Mark tasks as complete when you’re done

Creating a task

Tap Create Task from the dashboard to add a new task. Fill in the task name, description, due date, and assign it to team members. You can also add checklist items for multi-step tasks.

What you can see

What appears in the app depends on your permissions:

Common questions

The app is focused on viewing and managing existing orders. To create new orders, use the web dashboard.
The app covers the most common daily tasks: viewing orders, updating statuses, scanning QR codes, and managing tasks. For everything else (editing orders, creating delivery runs, managing products, reports, and settings), use the dashboard on a computer or tablet browser.
Yes. Changes sync in real time between the app and the dashboard. If you mark an order as ready in the app, it updates on the dashboard instantly.
Yes. Use the arrow buttons at the top of the orders screen to navigate to different dates. You can view today and any future date.
These are orders that haven’t been confirmed yet. You can view them in the app, but to confirm them you’ll need to use the web dashboard.
Yes, if your shop uses order assignments. A toggle appears at the top of the orders screen letting you switch between My Orders and All Orders, with counts for each.
Make sure the QR code is well-lit and not crumpled. If it still won’t scan, use the Enter ID button to type the order number manually. If your camera isn’t working, check that you’ve granted camera permission to the app in your phone’s settings.
