The Digital Florists App is a mobile app your team uses on the shop floor and on the road. Drivers use it to manage deliveries, confirm drop-offs, and capture proof-of-delivery photos. Florists use it to view orders, scan QR codes, mark orders as ready, and manage tasks. It runs on iPhone and Android phones.

Setting up the app

Enter your Florist Path

When you first open the app, you’ll see a screen asking for your Florist Path. This is the unique identifier for your shop. To find it, click your name in the top right of the dashboard and press Mobile App. You’ll see a QR code and your Florist Path.You can either type your path manually or tap Scan QR from Digital Florists to scan the QR code from your dashboard. The QR code fills in your path and username automatically.

Log in with your credentials

Enter your username and password. These are the same credentials you use to log into the Digital Florists dashboard. If you can’t log in, ask your administrator to check your account in Settings > Team.
If you need to switch to a different shop, tap Go back on the login screen to enter a new Florist Path.

Start using the app

After logging in, what you see depends on your role and permissions:
  • Drivers land on the Driver tab showing their delivery runs and a Scan & Deliver button
  • Florists land on the Florist tab with quick-access cards for orders, tasks, and scanning
If you have both driver and florist permissions, you’ll see both tabs at the bottom of the screen and can switch between them.

What each role can do

Drivers

  • View and manage delivery runs assigned to them
  • See each stop’s recipient name, address, time slot, and order items
  • Open directions in Google Maps, Waze, or Apple Maps
  • Call the recipient or customer directly from the order screen
  • Capture proof-of-delivery photos and mark orders as delivered
  • Mark deliveries as carded, remove orders from a run, or flag address issues
  • Use Scan & Deliver to scan order QR codes and build a delivery run on the fly
  • Enable background location tracking so the shop can see their progress (refreshed every 20–30 seconds)

Florists

  • View today’s orders with summary counts for Confirmed, Ready, and Delivering
  • Browse forward order dates to see what’s coming up, and check for unconfirmed orders that arrived overnight from your website
  • Filter orders by fulfilment method (Delivery, Collection, Relay, Courier)
  • Switch between My Orders and All Orders when order assignments are enabled (users with the App: Assigned Items Only permission don’t see this toggle — their list is always locked to items assigned to them, with a banner reading “Showing orders assigned to you”)
  • Scan order QR codes to quickly find an order
  • Use Mark Orders Ready to scan orders and set them to Ready status with optional photo capture
  • View and complete tasks, check off checklist items, and create new tasks for the team
You can’t confirm unconfirmed orders from the app — you’ll need to do that on the dashboard where you can print worksheets and take any other actions the order might need. The app shows unconfirmed orders so you can see what’s coming in, but confirming is a dashboard-only action.

Permissions

What appears in the app depends on the permissions your administrator has granted each team member. Tab visibility is driven by these:
  • Driver tab — visible to users with the Driver App Access permission.
  • Florist tab — visible to anyone whose permissions include something beyond Driver App Access. In practice, that’s any user with Orders, Tasks, Events, Analytics, or any other non-driver permission.
Users with permissions from both groups see both tabs and can switch between them. Within the Florist tab, individual cards (Orders, Mark Orders Ready, Task List, Create Task) appear based on the specific permissions a user has — see the Florist app guide for the breakdown.
Permissions are customisable per user. The Manager and Admin presets include most of the above by default; your administrator can adjust who has each permission in Settings > Team. See Team settings for the full role and permission breakdown.

App settings

Tap the gear icon in the top corner to open Settings:
  • Location & Tracking — enable background location so the shop can see where you are during a delivery run. This only tracks your location while you have an active run.
  • Delivery Workflow — choose what happens after you mark an order as delivered: go back to the run, stay on the order, or jump to the next stop.
  • Navigation — choose how addresses are sent to your maps app (full address, postcode only, exact coordinates, or ask every time).
  • Map Provider — pick your preferred map app. The app auto-detects which map apps you have installed and only shows those.
  • Connect Printer — pair this device with a label printer on the same local network via Digital Florists Connect. Useful for re-printing a label on the road without going back to the shop.
  • Offline Updates — view, retry, or clear delivery confirmations that were saved while you were offline. These send automatically when you’re back online; the clear/retry controls are there for the rare case a queued update is stuck.

Offline support

For drivers, the app queues your updates when you lose signal. Delivery confirmations, photos, and status changes are saved on your device and sent automatically when you’re back online. You’ll see a confirmation that your update has been “queued offline” and will sync shortly. You can still view loaded runs and order details without signal. The florist side of the app needs an internet connection to load and update orders and tasks.

Log out first, then tap Go back on the login screen to enter a new Florist Path. You’ll need to log in again with your credentials for that shop. If your shop has multiple locations, they all appear in the one app — you only need to switch shops to move between separate Digital Florists instances.
Click your name in the top right of the dashboard and press Mobile App. You’ll see a QR code you can scan from the app, or you can copy the Florist Path shown and type it in manually. If you’re still stuck, contact your administrator or Digital Florists support.
