Welcome to Digital Florists. As a member of the shop team, you’ll be taking orders, working the till, making up arrangements, and keeping the day running smoothly. This page covers everything you need to know to get started.
Your manager will have set up your account and given you a username and password. If you don’t have these yet, ask them before you continue.

Your first day

These are the things to get familiar with on day one.
1

Log in and explore the dashboard

Open Digital Florists in your browser and log in. You’ll land on the Dashboard — this is your daily home screen. It shows today’s orders, delivery counts, collection counts, and any tasks assigned to you.Use the date buttons along the top to look ahead to tomorrow or later in the week.Full dashboard guide →
2

Understand order statuses

Every order moves through a series of statuses: Unconfirmed → Confirmed → Ready for Fulfilment → Out for Delivery → Fulfilled. You don’t have to use every status — your shop might skip some. But knowing the flow helps you understand where each order is at a glance. How orders work →
3

Create your first order

Click Create Order from the dashboard. You’ll choose the order type, add a customer, set the delivery or collection details, pick products, and complete the order. It’s straightforward once you’ve done it once.Step-by-step order creation →
Ask your manager to walk you through a test order on your first day. It’s the fastest way to get comfortable.

Using the till (POS)

If your shop has a point of sale setup, you’ll use it for walk-in customers and phone orders. POS opens as a full-screen till where you can browse products, build a cart, and take payment.

Point of Sale

How to use the till — browsing products, building a cart, and completing a sale.

Taking Payments

Cash, card, gift cards, split payments, and payment links.

End of day

If you’re closing the shop, you’ll need to close the till. This means counting the cash, entering what you’ve counted, and submitting the session.

End of Day

How to close the till and reconcile your cash at the end of the day.

Deliveries and collections

You’ll see delivery and collection orders on the dashboard. If you’re involved in planning deliveries or assigning drivers, the delivery guide covers everything.

Delivery

Creating delivery runs, assigning drivers, and tracking progress.

The Companion App

Your manager may ask you to install the Digital Florists App on your phone. It lets you:
  • View today’s orders from the shop floor
  • Scan QR codes on worksheets to find or update orders
  • Mark orders as ready using the Mark Orders Ready scanner
  • View and complete tasks assigned to you
The app is available on iPhone and Android. Your manager will give you the Florist Path (your shop’s unique code) to get set up.

Companion App

Download the app and get signed in.
If you work around water and flowers, a waterproof phone case (£10-20 from Amazon) is a worthwhile investment.

Printing

Digital Florists can print order worksheets, labels, and receipts. Your manager will have set up the printers — you just need to know where to find the print button.
  • From the dashboard — select orders and use the Print bulk action for worksheets or labels
  • From POS — receipts print automatically after a sale (if configured)
  • From an order — open any order and use the print options in the top-right

Common questions

Yes. Your access depends on the role your manager assigned you. Staff roles can’t see financial reports, settings, or team management. If you think you’re missing something you need, ask your manager to check your permissions.
No — orders are created from the dashboard or POS in your browser. The app is for viewing orders, scanning QR codes, marking orders ready, and managing tasks.
Check that you’re connected to the internet. If the POS page won’t load, try refreshing your browser. If the receipt printer isn’t working, check that Digital Florists Connect is running on the computer — look for the green icon in your system tray. If you’re still stuck, ask your manager.
